Booking system - Prototype
Changes in Admin update customer availability instantly

Research-backed prototype

Rental availability across the whole Party Perfect website.

This mockup shows how customers choose an event date, see live product status, build a package, and how admin manages bookings, blocks, contracts, payments, delivery, and inventory behind the scenes.

Try customer flow

Feature blueprint

What Party Perfect needs from a real event-rental booking system.

Event rentals are not normal ecommerce. The system has to protect physical inventory by date, handle phone and WhatsApp bookings, quote custom packages, collect deposits, and give customers a clear mobile booking path.

Consumer-facing features

These reduce questions, increase trust, and help customers build a quote without calling first.

  • Event date and location firstDate, start/end time, delivery or pickup, event ZIP, and venue notes should drive every availability and price estimate.
  • Live availability statusProduct cards should show available, low quantity, unavailable, next available, or substitute suggested.
  • Product educationEach rental needs photos, dimensions, guest capacity, power needs, setup space, surface rules, age limits, and safety notes.
  • Package builderCustomers should combine bounce houses, tents, chairs, photo booths, decor, letters, delivery, and discounts in one flow.
  • Transparent pricingShow rental price, package savings, deposit, estimated delivery, optional add-ons, and balance due.
  • Checkout holdWhen a customer starts booking, inventory should be held briefly so another customer cannot take the same item.
  • Quote and booking request pathSome events need manual review, so the system should support instant booking and request-a-quote flows.
  • Mobile-first communicationEmail, call, text, WhatsApp, reminders, quote links, and confirmation messages must be easy from a phone.

Business/admin features

These prevent double-bookings and give the team one place to manage every rental job.

  • Rental inventory source of truthTrack quantity items like chairs and tables, plus individual units like tents, booths, arches, and marquee sets.
  • Manual bookings and holdsPhone, WhatsApp, Instagram, repeat customer, and owner holds must reduce availability immediately.
  • Item-level month calendarEvery product should have a one-month calendar showing booked, held, blocked, and available quantities by day.
  • Package component rulesPackages must reserve every included item, such as tents plus tables plus chairs, not just the package product.
  • Blocked dates and maintenanceCleaning, repair, missing items, private holds, travel buffers, and setup/pickup buffers must block stock.
  • Quotes, contracts, invoices, depositsAdmin needs proposals, signed terms, deposit tracking, balance due, refunds, discounts, and payment status.
  • Delivery operationsRoute area, mileage estimate, pickup option, load sheet, setup notes, delivery status, pickup status, and return checks.
  • Staff workflowAssign prep, load, delivery, setup, pickup, cleaning, damage review, and customer follow-up tasks.
  • ReportingSee utilization, revenue by category, most requested packages, abandoned quotes, booking source, and unavailable-item demand.

Customer experience

Availability appears on every product and package.

The selected event period updates the product grid. Unavailable items stay visible with a reason and alternative path, which is clearer than silently hiding them.

WordPress admin

Manage inventory, bookings, blocked dates, and packages.

This would live under a new WordPress menu called Party Perfect Bookings. Manual phone bookings reserve inventory the same way as website checkout.

Delivery is calculated as base fee plus miles times mileage rate. Example: 300 miles at $2 per mile creates a $600 delivery estimate. Order discounts apply to product subtotal plus delivery, after bundle savings.

Engineering model

The booking engine is date-range inventory, not normal Woo stock.

WooCommerce can still handle products, cart, checkout, and payments. The custom plugin handles rental periods, availability checks, holds, bookings, and admin calendar logic.

Availability formula

available = total_inventory - overlapping_confirmed_bookings - active_checkout_holds - maintenance_or_manual_blocks overlap = existing_start < requested_end AND existing_end > requested_start
1
Select period

Customer chooses event date, start time, end time, delivery ZIP, and rental mode.

2
Query availability

The plugin checks bookings, holds, blocked dates, and inventory buffers.

3
Build cart

Only available quantities can be added. Packages check every component.

4
Create hold

Checkout creates a temporary hold so two customers cannot pay for the same item.

5
Confirm booking

Successful payment converts the hold into a confirmed booking and blocks inventory.

Implementation roadmap

Build the booking core first, then connect payments and packages.

The first version should prove the core availability system before adding advanced automation like SMS, route planning, and customer accounts.

Phase 1

Availability Core

Tables, inventory admin, manual bookings, date-range availability API.

Phase 2

Customer Status

Global date picker, category badges, product page availability, unavailable reasons.

Phase 3

Checkout Holds

Cart validation, temporary holds, Woo order connection, deposit conversion.

Phase 4

Operations

Calendar, pickup/delivery statuses, balance tracking, booking emails.

Phase 5

Packages

Package component rules, alternatives, build-your-own integration.
